• Contact information — such as your name, company, and email address when you contact us or create an account.
• Uploaded documents — files that you or your subcontractors upload to a project (for example certificates of insurance, W-9s, and closeout files), along with related metadata such as file name, type, and expiration dates you provide.
• Product usage information — basic operational records of actions taken in the product (for example when a request or reminder was sent, or when a document was approved) so the service can function.

We use the information we collect to:

• Provide and operate the document collection and tracking service.
• Send requested and automated document follow-up emails.
• Respond to your inquiries and support requests.
• Maintain the security and reliability of the service.

We do not sell your information, and we do not send filenames, document contents, upload-link values, or subcontractor details to third-party advertising or analytics providers.

We rely on a small number of infrastructure providers to run the service — for example cloud hosting, database and file storage, and an email delivery provider. These providers process information on our behalf to provide their services.

We retain account information and uploaded documents for as long as your organization uses the service or as needed to provide it. You may request deletion of your data by contacting us, subject to any records we are required to keep.

We take reasonable measures to protect information, including private file storage and access controls. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. SubDocs does not perform malware scanning or verify the authenticity, validity, or compliance of uploaded documents.
